Trigger, action, and the map between them

A zap is a trigger in one app and one or more actions in others. The work is in mapping fields: which piece of the trigger's data goes into which slot of the action.

Trigger

When this happens

A new form response, a starred email, a paid invoice. Zapier polls or listens and produces a record with fields.

Action

Do that

Create a row, send a message, add a contact. Each action has slots, and you fill them from the trigger's fields.

History

Every run, logged

Zap history shows each run with the data at every step. When something is wrong, the answer is in there, not in your memory.

What you will do in the lesson

Five clips, already on the track. You answer and try things. Nobody demonstrates at you for five minutes.

  1. Build a two-step zap. You connect a form to a spreadsheet and test it with real data.
  2. Map the fields. You take a trigger with eight fields and put the right three into the action.
  3. Add a filter. You make the zap run only for responses that match a condition.
  4. Read a failed run. You open the history for a run that errored and find which step, and why.
  5. Choose Zapier, Make, or n8n. You end by sorting three automation jobs between the tools by what each is best at.

Before you start

Is Zapier free?

There is a free plan with a small number of tasks per month, enough to learn on. Real usage is paid by task volume.

When is Zapier the right choice?

When the integration matters most. If the apps are unusual, Zapier is the one most likely to already support them.

Does it have AI steps?

Yes, you can add a model call as an action, and there are agent features on top. The lesson focuses on the core loop that everything else builds on.

Why do zaps break?

Usually a field changed shape upstream or an app's auth expired. The history view shows which, which is why the lesson makes you read one.
